What you get with ToolSense.
One platform, built for the realities of a construction yard - not retrofitted from a generic CMMS.
Machine management
Every excavator, loader, crane, generator, compressor, vehicle and small tool in one digital fleet record. Master data, hour meter, location, current site, current operator. The end of the Excel-based asset list maintained by the colleague who retired last year.
Workshop ticketing
Replace paper repair slips and shouted handovers. Drivers and site foremen report problems via QR scan and mobile - instantly visible to the workshop. Mechanics receive tickets, document repairs with photos, log spare parts, close out with a signature. Full workshop history per machine, queryable in seconds.
Dispatching
Schedule which machine goes to which site, when, and with which operator. Visualise availability across the fleet. See conflicts before they happen. Equipment moves between sites are logged automatically with start/end timestamps - no more "where is that excavator?" phone calls on Monday morning.
Parts & inventory
Spare-parts inventory, consumables, oils, filters - linked to specific machines and ticket types. Min-stock alerts and order suggestions based on consumption. Workshop mechanics see exactly what's on the shelf before they call the supplier.
Purpose-built IoT hardware
ToolSense designs and ships its own IoT devices - rugged, vibration-proof, built for diesel-powered, dusty, wet construction environments. Heavy-duty trackers for big iron (Blackbird), compact units for mid-sized equipment (Hawk, Eagle), modules for tools and small assets, vehicle units, station hubs. SIM included. €5 per device per month.
OEM cloud integrations
Already running OEM telematics? ToolSense connects directly to the major construction OEM clouds - Caterpillar, Komatsu, Liebherr, Volvo, JCB, Hitachi, Bobcat, Doosan, John Deere and many more. Hour meter, location, fault codes and utilisation flow into ToolSense automatically. No rip-and-replace, no double tracking.
Offline mode
Construction sites don't have reliable mobile coverage. The ToolSense mobile app works fully offline - operators, drivers and mechanics can scan QR codes, log inspections, complete checklists and report problems without signal. Everything syncs automatically the moment the device is back online.
Scan QR to report a problem
Every machine carries a QR sticker. The operator scans it, takes a photo, types one line - workshop ticket created instantly. Multilingual interface for diverse site teams. No paper, no phone call, no "I forgot to mention that yesterday".
Equipment handover checks
Digital handover protocol when a machine moves between sites, between operators, or between rental partners. Checklist on mobile, photos of condition, signatures from both parties. Disputes about who damaged what - finally resolvable with evidence.
Technician scheduling
Plan and dispatch your workshop mechanics and field technicians across yards and sites. Skill-based assignments, route planning, real-time status. Mobile app for the technician with full ticket history, checklists and offline support.
Car tracking & Fahrtenbuch
All vehicles in the same platform as the machines. GPS tracking, mileage, driver assignment, pre-trip and post-trip inspections. Cost per vehicle, per site, per cost center. Plus a Finanzamt-grade Fahrtenbuch (digital driver log) for the DACH region that holds up under tax audit.
Build your own checklists
Create any checklist your operation needs - daily machine pre-checks, monthly maintenance routines, opening/closing protocols, environmental and waste documentation, safety inspections, custom audit formats. Drag-and-drop builder, no code, no IT project. Deploy via QR code, multi-language, mobile-first.
Custom fields per asset class
Construction equipment doesn't fit a one-size-fits-all data model. Excavators have bucket sizes. Cranes have load charts and inspection regimes. Generators have kVA ratings. Configure custom fields per asset class and capture exactly the data your operation needs - not what some software vendor decided three years ago.
Total cost of ownership
Every machine accumulates real cost: acquisition, depreciation, fuel, maintenance, repairs, transport, insurance. ToolSense aggregates all of it into a per-machine TCO record - so you finally know which machines are profitable to keep and which are quietly bleeding money.
Safety checks (UVV / DGUV)
Every legally required inspection runs end-to-end inside ToolSense - planning, notification, mobile inspection, documentation, escalation. Annual machine safety inspections (UVV, DGUV), pressure vessels, lifting equipment, ladders, harnesses and PPE, fire extinguishers, first-aid kits. Integration with PAT-testing hardware (SafetyCheck and similar). Failed inspections trigger workshop tickets or block the machine from being dispatched.
Staff certifications & licenses
Track every certification your staff needs to operate the machines and vehicles in your fleet. Driver licenses (B, C, CE), crane operator licenses, forklift licenses, excavator-operator certificates, telehandler tickets, working-at-height training, first-aid certifications. Automatic expiry alerts so nobody operates a machine on an expired license - and renewals don't surprise you the day someone is supposed to be on site.
