HWC Logistics is a third-party logistics operator based in Atlanta, Georgia, distribution, imports/exports and transportation under one roof, with around 100 employees. Ashlyn Lockett runs operations, and the in-house maintenance shop keeps the fleet of trucks and forklifts on the road.

When the old tool stops scaling

Before ToolSense, the team ran a quality-management platform with a small maintenance module bolted on. The maintenance crew handled the paper, the setup, the prioritisation, the everything. A quick Google search for something more inclusive surfaced ToolSense at the top, and customer-success rep Leela took it from there.

QR codes change the work order

The QR code system is what Ashlyn calls a “game-changer”. Drivers and forklift operators now scan a code, run their pre- and post-trip inspection, and submit a work order the moment something’s off. The maintenance team prioritises from the inbound queue, a headlight here, a flat tire there, instead of working from a wall of clipboards in the shop.

A surprise gain Ashlyn didn’t know about going in: third-party vendors can be added as followers on a ticket and update statuses via email. Every back-and-forth is recorded in the ticket notes, so the rest of the team has the same view of where a repair stands.

The QR codes have been a game-changer. Pre- and post-trip inspections turn straight into work orders, the team prioritises immediately, and downtime has gone from weeks to hours.
